A call center KPI dashboard in Excel shows inbound call volume, queue time, talk time, abandoned calls and SLA achievement on one interactive page. It is built for call center managers, analysts and operational leads who want to improve team productivity and SLA performance. The video tours the finished dashboard and then builds it step by step.
You can also skip the build and use the finished Inbound Call Center Excel Dashboard for agent performance, which works in standard Excel with no add-ins.
Call center KPI dashboard metrics
- Total inbound calls
- Time in queue
- Talk time and abandoned calls
- Agent performance and skill group analytics
- SLA target tracking and achievement percentage
- Calls by business hours, outside hours and weekends
Together these cover the three questions most call center leads ask every day: how many calls came in, how fast were they handled, and did we meet the service level?
Visuals and filters in the inbound call center dashboard
- Line charts for daily calls and for the hourly distribution of calls.
- Interactive slicers by month, day and skill group.
- Categorized views by agent, country and call type.
- SLA indicators that show at a glance whether the target is being met.
The hourly line chart is especially useful: it makes peak hours visible, which is where queues build up and abandoned calls usually happen.
How to build a call center dashboard in Excel
The dashboard works in standard Excel with no add-ins. A typical build for this kind of dashboard looks like this:
- Start from a call log table with one row per call: date, time, agent, skill group, country, call type, queue time, talk time and whether the call was abandoned.
- Add helper columns that classify each call as business hours, outside hours or weekend, and flag whether it met the SLA target.
- Summarize with PivotTables: calls by day, calls by hour, averages by agent and totals by skill group.
- Build line charts from the daily and hourly PivotTables.
- Insert slicers for month, day and skill group, and connect them to all the PivotTables through Report Connections. Microsoft explains the details in Use slicers to filter data.
- Link KPI text boxes to cells that hold the totals and the SLA achievement percentage.

How managers use it
- Daily tracking: check total calls, abandoned calls and SLA achievement at the start of each shift.
- Staffing decisions: use the hourly distribution to see when more agents are needed.
- Coaching: compare agents and skill groups to find where talk time or queue time stands out.
- Reporting: filter by month for management reviews and strategic planning.
Reading SLA, queue time and peak hours together
Each KPI on its own only tells part of the story. The real value of this dashboard comes from reading them side by side:
- SLA drops on specific days? Filter by day with the slicer and check the hourly distribution. A missed SLA is often caused by a short peak, not by a whole bad day.
- Abandoned calls rising? Compare them with time in queue. When callers wait longer, more of them hang up, so the fix is usually on the staffing side.
- Talk time high for one skill group? That can point to complex call types or a training need. Use the skill group slicer and the call type breakdown to narrow it down.
- Many calls outside business hours or at weekends? The hours breakdown tells you whether extended coverage or a callback option is worth considering.
Treat the dashboard as a set of questions rather than a set of numbers, and it quickly becomes part of the daily routine.
Tips to adapt it to your own call data
- Define your SLA clearly before building, for example the share of calls answered within a set number of seconds, and calculate it the same way every time.
- Store durations as numbers. Queue and talk times exported as text will not average correctly. Convert them to seconds or to Excel time values.
- Set your business hours in one cell and reference it in the formulas, so a change in opening hours doesn't mean editing every row.
- Keep agent and skill group names consistent across exports, otherwise the same person appears twice in the slicer.
- Refresh all PivotTables (Data, then Refresh All) after pasting new calls.

Frequently asked questions
How do I make a call center dashboard in Excel?
Put your call log in a table with one row per call, summarize it with PivotTables by day, hour, agent and skill group, and build charts from those PivotTables. Then add slicers for month, day and skill group and link KPI text boxes to the totals.
What KPIs should a call center dashboard track?
This dashboard tracks total inbound calls, time in queue, talk time, abandoned calls, agent and skill group performance, SLA achievement, and calls by business hours, outside hours and weekends.
Does this call center dashboard need any add-ins?
No. It runs in Excel with no add-ins required, using PivotTables, charts and slicers.
Can I filter the dashboard by team or skill group?
Yes. There are slicers for month, day and skill group, and the data is also broken down by agent, country and call type.
